• Versioning and audit trails where appropriate

Access is granted only to team members directly involved in your project.

How we manage access

We follow a clear principle:

Only the people who need access, get access.

This includes:

• Project leads

• Assigned producers

• Animators, designers or developers on your project

• Contractors under NDA where required

Access is removed as soon as a team member no longer needs it for project delivery.

Data sent to us

When you provide assets or documentation, you can do so via:

• Secure cloud upload

• Password-protected links

• Encrypted platforms such as Tresorit

• Your organisation’s preferred secure method

We do not request or transmit sensitive information via unsecured channels.

Data retention

Our standard retention period for client materials is:

• 12 months after project completion, unless agreed otherwise

This allows for edits, updates or future project phases.
If you require immediate deletion, reduced retention or a bespoke policy, we will follow your requirements.

Once the retention period ends, data is securely deleted from our systems.

AI and automated tools

When AI tools are used, we ensure:

• No training of third-party models on client data

• No external data exposure without your consent

• Secure and compliant prompting practices

• Strict internal rules to prevent sensitive information being shared with public AI systems
